There is no restriction on the overall number of in-person delegates per delegation. Delegations might also alternate their delegates in the plenary or other meetings during the conference week.
However, the Secretariat would like to remind all delegations that the maximum seating capacity in the meeting rooms (for the plenary, side events, informals, other meetings) must not be exceeded according to the Guidelines for in-person meetings at the Vienna International Centre.
The Plenary Hall will have 264 Seats at the table and 264 advisor seats without table. This means that, according to past practice, one seat at a table and one advisor seat can be guaranteed for each Member State delegation; for IGOs one seat at a table can be provided and for NGOs limited seating will be available including some seats at desks. In case of need an overflow room with seating possibility could be provided for the opening of the session for additional delegation members as it is not possible to guarantee a seat in the Plenary Hall for every delegate.
In this regard, the Secretariat would like to remind delegations of the additional possibility to participate remotely/online or to follow the meeting via Webcast. As mentioned above, delegations might also alternate their delegates in the meetings.
To ensure adherence to COVID-19 related safety measures, delegations are requested to adhere to this maximum number of delegates who can be present in the Plenary Hall at any given time and to respect the seating capacities of all other meeting rooms.
As regards the side events which will be held in different smaller rooms, remote/online participation will also be possible.
